Stand map: place every stand to scale

The stand map shows where each stand goes, to scale. When you publish it, it appears on your market page and every placed maker gets an email with their stand number. It is free.

What the stand map does

  • You draw where the stands go, on an aerial photo of Luxembourg or on a photo of your hall plan.
  • HobbyLux places your makers and your guest stands along your lines, to scale. You move them as you like.
  • If you want, the AI suggests who stands next to whom.
  • When you publish, the map is on your market page and each placed maker gets an email: stand number, map and arrival time. They also see it in “My stand” in their portal.
  1. Open My markets and tap your market.
  2. Tap Stand map at the top of the market page.
Good to know

Drawing and moving stands needs a computer or a tablet. On a phone you can look at the map, check the list and print it: see On a phone.

Choose the background

The first time you open the stand map, it asks “What do you draw on?”.

  • Aerial photo: for markets outside. We start at your market’s address. Move the photo until the square is in the middle, then tap Start drawing.
  • Hall plan: for markets inside. You add a photo of the floor plan and set the scale with one line: see Hall plan: set the scale.
Good to know

The aerial photo is from summer 2025, about 10 cm per pixel. It is good for planning, not for measuring to the centimetre. It comes from geoportail.lu, a service of the Luxembourg state.

You can change the background later in the toolbar. Then every stand goes back to “Not placed”; lines and power spots stay, but check them on the new background.

Hall plan: set the scale

  1. Tap Choose a photo, or Take a photo, and pick a photo or scan of the floor plan. Straight from above works best. JPG or PNG up to 10 MB; a PDF works too (we use its first page).
  2. Draw one line along a wall you know, from one end to the other. The longer the line, the more exact the scale: at least a third of the plan.
  3. Type how long this line is, in metres (2 to 500), for example 24 or 24.5.
  4. Check the dashed square on the plan: it is a 3 × 3 m stand. If it looks right, tap Use this scale.

Replace the plan replaces the photo: you set the scale again, then your stands go back on the map. Check where they stand.

Good to know

Only you and HobbyLux see the plan photo while you work. Once you publish, visitors see it as the background of the map.

Draw lines and power spots

A line means “stands go along here”. You can draw up to 3 lines, for example one along each side of a square.

  1. Tap Draw a line.
  2. Drag from one end to the other. Double-click to finish.
  3. The arrows show the side where the stands go. Click the line and tap Other side to flip it.
  4. Drag the round ends to move the line. Each line shows its length, like “Line 1 · 52 m”.

Power spot: tap the tool, then tap where a power outlet or cable box is. Tap a spot again to remove it. Add as many as you have.

Tip

Every change is saved as you go (“Saved · 10:14”). Undo takes back your last steps.

Place the stands

“Not placed” lists every maker with a Yes for this market, and your guest stands. Makers who have not paid yet show the chip “Not paid yet”; you can place them anyway.

  1. Drag the list into the order you want: Place stands follows it.
  2. Tap Place stands. Everyone goes along your lines, in list order, to scale.
  3. Drag a stand to move it. Near a line it snaps onto the line.
  4. Click a stand to see its details, turn it (Turn 90°) or send it back to “Not placed”.
  • Size: from the maker file, else from the stand offer the maker picked, else 3 × 3 m. You set the size of guest stands yourself.
  • Numbers go along line 1, then line 2, then line 3. They change when stands move, and are fixed when you publish.
  • Keyboard: arrows move a stand 0.5 m, Shift + arrows 2 m, R turns it, Delete sends it back to “Not placed”.
  • Place again places everyone again. Your hand moves are lost, so it asks first.
Good to know

A stand that overlaps another stand, stands on the walkway or sticks out of the map is marked “Does not fit”. Move it, or change the settings. You can publish once no stand is marked.

  1. Map tools: lines, power spots, background, print
  2. A line: stands go along here
  3. A placed stand with its number
  4. “Not placed”: who still needs a place
  5. Publish map

Guest stands and names

A guest stand is a stand that is not on HobbyLux: a club, a neighbour, a food stand. Guest stands get no email from HobbyLux.

  1. Tap Guest stand.
  2. Type the name, pick a size (3 × 3, 3 × 2, 3 × 4, 4 × 4 or Other size, 1 to 20 m) and tick Needs power if it does.
  3. Tick “This stand agreed to be shown by name” only if they said yes.
  4. Tap Add the guest stand. It waits in “Not placed”.

Not ticked: only you see the name. Visitors see only the number, like “Stand 11”, on the map, the pictures and the poster. Ticked: the name shows on the public map, the promo pictures and the poster.

Good to know

Ask first. You are responsible for having the guest’s yes before you tick the box: see the terms.

  1. Name: only you see it, unless the box is ticked
  2. Size
  3. This stand agreed to be shown by name
  4. Add the guest stand

Suggest neighbours (AI)

Once the stands are placed, Suggest neighbours (AI) proposes who stands next to whom: the same crafts apart, stands that need power at power spots, big tents at the ends of a line.

  • Moved stands get a thick outline and an arrow sign, and the list shows each move with its reason.
  • Nothing is saved until you tap Accept. Undo the suggestion puts everything back.
  • The AI only changes who stands where. It never adds or removes a stand.
  • The AI gets stand sizes, power needs, the kind of craft, the length of the lines, where the power spots are, the gap between stands and where each stand is now. It never gets a name or an email.
Good to know

You have 20 AI runs a day, for the stand map and the promo kit texts together. A run that fails does not count. New runs from midnight. Moving stands by hand always works.

Gap, walkway and arrival time

  • Gap between stands: 1 m to start with, from 0.5 to 10 m.
  • Walkway in front of the stands: 3 m to start with, from 0.5 to 10 m. It stays free; a stand on it does not fit.
  • Makers arrive from: the time makers can set up, in steps of 15 minutes. It is in the makers’ email and on “My stand”.

Publish and the emails to makers

Only you see the draft. Tap Publish map: the dialog tells you what happens before anything is sent.

  • The map goes on your market page, for everyone to see, with a list of the stands under it. Visitors tap a maker’s stand to open their storefront.
  • Each placed maker gets one email: stand number, map and arrival time.
  • Guest stands get no email. Tell them their number yourself, or give them the printed map.
  • Makers who are not verified yet show only their stand number until HobbyLux verifies them.
  • Stands that are not placed are left out.

Changes after publishing stay in your draft (“Changed since publishing”) until you tap Publish the changes. Then only makers whose number changed, or whose stand moved or turned, get a “stand changed” email.

If a maker’s Yes is taken back, their stand turns empty at once, also on the public map. Tap Put someone here, or Remove the empty stand. The maker gets no email from the map.

Take the map off the market page hides it again. Nobody gets an email; makers still see their last number on “My stand” with “The map is being changed”.

  1. What happens: market page, emails, guest stands
  2. Publish and send the emails
  3. Not yet

Print the map

Once the map is published, tap Print (PDF) in the toolbar. You get an A4 landscape PDF with the map, the arrival time and a numbered list with every name, size and power need.

Good to know

Your printed copy shows every name, also guest stands without the tick. It is for you and your team, not for the public.

On a phone

On a phone the stand map is view only: “Edit on a computer or tablet”. You can move around the map, check the list of stands and print the map.

The next date of your market

When your market comes back, the new date starts with a copy of the last map: background, lines, power spots, settings and guest stands. Makers start in “Not placed”: they need a new Yes for the new date.

Good to know

Copied guest stands lose the “shown by name” tick. Ask them again before you tick it.

Who sees what

  • Visitors see the published map: stand numbers, the names of verified makers and of guest stands with the tick.
  • You and HobbyLux see every name and the draft.
  • Each placed maker sees their own stand and the published map.
  • The aerial photo is loaded from geoportail.lu, so that service sees the IP address of everyone who looks at the map. The pictures in the emails and the PDF are stored by HobbyLux.
  • Guest stand names and the map pictures are deleted 12 months after the market at the latest. Details: Privacy notice.
